Behind the scenes, the Western Wheelers volunteers set the stage, coordinate, and run one of the most beautiful and challenging tours in Northern California.

As usual, the Western Wheeler members have enthusiastically turned out!

We still need a few more Safety Monitors, volunteers who are critical to the ride.  The Safety Monitor is the "face" of the Sequoia to the riders on the road.  We have over half of the positions filled, but we need a few more helpful volunteers.

Please register above to be a Safety Monitor.  The Sequoia is our annual event.  It provides a superb ride to the serious bicycling community, promotes camaraderie among club members and makes possible all the picnics, parties and other events the club hosts. (You didn’t think your dues covered all that did you?) 

As of May 20, 2016 only Safety Monitors (above) are needed.

REWARD FOR EACH SEQUOIA CENTURY VOLUNTEER

Volunteers will receive either a gift of a one-year extension of your individual club membership (or $25 towards your family membership) or (if their schedule allows) a free Sequoia registration.

If you select the Sequoia registration, you will need to find the registration code on your confirmation email and use that code to register for the Sequoia as a Guest Sequoia volunteer. 

All volunteers may ride on the Workers’ ride on Saturday, June 11 and are invited to the Workers’ Picnic on date Sunday, June 12.

Advertising
Advertising includes placing ads in various newspapers and on Bulletin Boards plus placing an ad in Cycle California! It also includes various tasks such as distribution of literature and contacting other organizations.

Distribution
Food distribution is done the day before the Sequoia. Trucks containing the food and equipment for all venues are brought to the distribution site. Volunteers sort the food and equipment for each rest stop and help load cars and vans of the rest stop volunteers. Lunch will be provided.

Early check-in is done the day before the Sequoia and is for both assigning numbers to riders and accepting additional registrations. The number of spaces is limited, due to space and need considerations.

Food Planning and Ordering

Various locations
Several job are included. One person creates a master list of items for the Sequoia (food and supplies), others place orders with our vendors. We also need three people who are ABLE TO LIFT FOOD CONTAINERS AND LOAD THEM INTO A TRUCK OR MINI-VAN. Preferably, one person will have a truck or minivan we can use. Following delivery of our main order from Costco, the team will pick up any items missing form the order and any needed additional items.

Logo Design
Design the 2016 logo, which will be used on the t-shirt, collateral and advertising.

The Recruiting staff is responsible for filling all Sequoia volunteer vacancies. Recruiting begins after our team captains have done initial recruiting of prior-year volunteers. We will also announce that on-line sign up is open. We will then determine what additional volunteers are needed to staff the Sequoia and you will contact members who have not yet volunteered to urge them to participate. Last minute recruiting is often needed to fill in for volunteers who have to drop out.

Rest Stop Coordinators (FULL)

One or two coordinator are being sought to learn the requirements for food handling and to work with the rest stop captains to ensure that the teams understand the requirements for a safe rest stop.

Bicycle Mechanic

Various Rest Stops
Bicycle mechanics will be assigned to rest stops to make minor repairs to bicycles. Ideally, at least one mechanic at each stop will be from a bicycle shop which will provide parts (for sale). All mechanics must know how to repair a bicycle and provide their own stand and tools. The club will provide a limited number of parts (tubes, cables) to member volunteers.

Some volunteers from both shifts will pick up some Rest Stop items from Foothill College on Sat, June 4, 2016, at 1:00 PM and help with some food preparation (such as roast potatoes or get fruit, clean, prep food, etc.). Bring to their La Honda Rest Stop shift on Sunday.

Registration volunteers greet riders, verify their registation, assign rider numbers and answer questions. The first group of riders leaves between 6 and 7 a.m. If registration is not full, one volunteer will be responsible for accepting registrations, verifying releases and accepting payment (Card reader supplied, must install and configure app before shift). Start/finish times may be staggered so that shifts can be shorter. Please do not register for the Sequoia unless you know that your shift will be finished by 9:45 AM.

Radio Communications

YOU MUST BE A LICENSED HAM OPERATOR to volunteer for this activity and provide your own radio. Radio operators serve a 4-6 hour shifts, either in a fixed location or in a roving vehicle. Roving vehicles also serve as SAG vehicles. Radio operators may either be a passenger or also drive the vehicle. Fixed locations include Saratoga CDF, La Honda, Pescadero, the Bike Hut on Tunitas Creek Road, Half Moon Bay and the top of Tunitas Creek Road.

Returned Materials Unloading and Inventory

This job involves inventory of food returning from the rest stops. You will help unload cars and vans, record the amounts of food coming from each rest stop, and sort the goods. ABILITY TO LIFT AND MOVE MATERIALS IS REQUIRED.

Various Road monitors serve a 3-5 hour shift at locations requiring extra caution or directional information. Some are located at rest stops, while others are located where riders make left turns across traffic. Monitors are provided with an orange vest and flags.

SAG

SAG drivers follow an assigned route to assist riders. Some SAG volunteers will be passengers in cars with another SAG or radio volunteer. Each driver can expect to drive 100-200 miles over the course of a 6-hour shift. You will carry repair parts (tires, tubes and cables), light snacks and water, all except water, supplied by the club. After your shift, drivers will be offered a payment of $25 to defray the cost of gasoline. The SAG team leaders have approval right for SAG drivers.

With help from site volunteers, the crew will load the large truck with all the supplies going back to the WW storage locker. The crew will also assist VA volunteers with general site clean up as needed. After completing all tasks, the crew will refuel and return the 2 rental vans to Hengehold in Palo Alto. The crew will also assure that drivers get transport back to their personal vehicles.

Along route Volunteers will check with Randall Braun to find out the locations of signs that are away from rest stops and drive parts of the course to retrieve them and return them to the storage locker. Volunteer will also remove route arrows in Pescadero and Portola Valley using water and stiff brush provide by club.

Volunteers will unload the large truck's contents into the storage locker. Task involves some lifting and working outside washing equipment. All coolers will be emptied, washed, and cleaned. One volunteer will take some small items home and wash them.

Volunteers will collect Sequoia leftover food and equipment at the end of the Sequoia for use at the Worker's ride and store it at various locations.  During the week one volunteer will order lunch for La Honda.  Volunteers will drop off the equipment and food at the two rest stops.

Worker's Ride - Rest Stop Set Up, Support and Cleanup

La Honda Gardens Hwy 84, La Honda
One volunteer will supervise the Saratoga Summit Fire/Ranger Station rest stop at Skyline Blvd (RT 35)  0.6 miles north of the intersection with Big Basin Way (HY 9).  One volunteer will supervise the La Honda rest stop at La Honda Gardens on HY 84 where lunch will also be provided to the riders.  Volunteers will help set up, run and clean up the rest stops.  Volunteers will help move and store the club equipment at the storage locker.  The volunteer roles are customizable.
